ECM Usability - Where is the Easy Button?

The Easy Button from Staples.  Everyone has seen it.  It is very recognizable from the commercials that aired a few years ago.  I bought one when they were first available and always got a kick out of the easy to understand instructions:

  • Step 1 Identify a difficult situation
  • Step 2 Press your Easy Button
  • Step 3 Listen to the reassuring message
  • Step 4 Smile and get on with your day
  • Step 5 Repeat as necessary

What about the usability of your ECM solution?  Does it have an "Easy Button" for your users?

I recall the early stages of implementing an ECM system at a previous employer:  The integration with Microsoft Office and Windows Explorer wasn't ready for prime time.  While the functionality was there, performance wasn't very good and it wasn't always reliable.  We had already made some promises for providing ECM functionality to one of the projects so we moved forward with implementation without this key piece technology.

We really missed how large the backlash was going to be with the extra steps required by our users to utilize our ECM system.  They could save directly to a file share from any of the Office programs, but we required them to save to their local PC or file share first and then go into the web client of the ECM system and "move" it to the repository.  Same story retrieving something for editing.

Most users were like "Are You Kidding Me?"  You want to interrupt my way of working just to use this new technology you're providing?  Those users who saw the value of versioning, audit trails, etc. grudgingly used the system, even with the burden of the additional steps.  But not most of the users.  They refused to change their habits.  And in retrospect, how could we blame them?

Once the functionality was more stable and we were ready to deploy it, we had a sales job to do with many of the users.  They were a little cautious moving forward until they were sure we were not doing something else to negatively affect their work environment.

While new systems don't usually have an "Easy Button", you need to ensure that it's not going to interrupt their current way of working so negatively that they can't see the benefits of the new way.  You need to get in the trenches and understand how your different classes of users work before you deploy the new system.  You will have more success with your users adopting your new ECM system if it as seen as more usable within their current ways of working.
